Site information – FAQ

Thank you for booking your event/club training at Barnby Road Academy, this site information pack provides you with important information about using the facility safely and in line with our terms and conditions.

Information for Club Bookings

Please ensure that you have fully read and understood the terms of conditions of hire included on your booking form. Payments for hire are made by Direct Debit and we will collect a full month’s hire charge on the 1st of each month as communicated on your Direct Debit Schedule.

Information for Adhoc/Event bookings

Please ensure that you have fully read and understood the terms of conditions of hire included with your booking form. Payment for the facility hire should be made by BACS, you will receive a booking confirmation in advance of your booking and have 7 days to raise any queries before the invoice is raised. We require all invoices to be paid 14 days in advance of hire and payment must be received in full before the date of your event.

What happens next?

Once you have had your booking confirmed and payment registered we will ask you to collect your access card from Newark Sport & Fitness Centre. The card will be programmed to allow entry to your booking only and it will be the responsibility of the hirer to ensure it is kept safely for use each week.

What if I lose my entry card?

The hirer is responsible for ensuring the whereabouts of their entry card. It must be used each week as without it you will not be able to access the building. If you forget or lose your card please contact us on 01636 655780, so it can be cancelled and a new card created. Whilst we cannot guarantee an immediate replacement, we will endeavour to have a replacement card ready in 3 working days for collection from Newark Sport & Fitness Centre. Replacement cards will be charged at £5 each and will need to be paid for at the time of collection. If you experience any issues with your entry card please let us know and we will reformat it to allow entry to the site.

Where do I return my entry card to once my hire period has ended?

Once your last session has ended please return your entry card to Newark Sport & Fitness Centre where it can be reprogrammed and used by other hirers.

How do I report any problems with my booking?

We hope you enjoy your booking, however should you experience any issues please let us know in a timely manner so we can investigate and address the issues raised. The quickest way to do this is by email to Bookings@Active4Today.co.uk

What if I need to change the personal details relating to my hire?

From time to time telephone, email and address details can change. To keep your hire details fully up to date you can complete a change of details form on our website.

What about Risk Assessments?

As per your booking terms and conditions - It is your responsibility to create and maintain an up-to-date Risk Assessment for your session. Please use our HIRERS BLANK Risk Assessment (PDF File, 124kb) to help with this.

Cricket hirers

All cricket hirers must be competent in the set up and take down of cricket net/mats for their hire to take place. Please familiarise yourself with the Setup and Takedown videos and HSE guidance regarding manual handling, ahead of your hire commencing. 

Can I use a bowling machine?

If you would like to use a bowling machine please contact us at bookings@Active4today.co.uk and we will seek permission from the owners of the building. If permission is granted use of the machine must be fully risk assessed.

Do I need to wear a Cricket Helmet?

If you have permission to use a bowling machine on site then YES you MUST be wearing suitable protective head and body wear and use the machine in line with the manufacturers and ECB guidance.

If your session is using Cricket Nets then your club/group risk assessment should cover the use of protective equipment for everyone involved in the session.

Where do I locate Basic First Aid?

As per your booking terms and conditions you should ensure coaches are suitably first aid trained and carry their own First Aid kit in line with your club/governing body guidelines. Please ensure you use the online Accident/Incident Form immediately after an incident has occurred.

Defibrillator

Should you be instructed by Emergency services to use a defibrillator machine, you will find it is located on the school’s front entrance gate. The emergency services will give you the entry code to access the machine and it should then be used as instructed.

Emergency access gate code

The external carpark gates are on auto open during the booking period and will easy emergency access into the car park. If any emergency vehicle needs direct sports hall access then can then enter through the following set of gates using the code and pressing the small black circle/button on the bottom of the lock to pop it open. Please ensure all gate are locked and secured after use.

Other useful emergency information

If you need to open both entrance doors to the sports hall to ensure wider access, please unlock the top and bottom latch on the edge of the door frame. These latches can be easily located by looking at the central part of the door frame (edge) where both doors meet. Please do not force open the doors as mechanical damaged will be charged back to the hirer.

Completing an Accident/ Incident Form

Please ensure you fully complete an accident/incident form for every accident/incident that occurs during your hire at this venue. All accident forms must be completed and reported within 48hrs of occurrence. Click here to access the form

Who do I contact in an emergency?

Accident/incident
After addressing the accident/incident and calling any emergency service needed, please email bookings@active4today.co.uk or call through to Newark Sport & Fitness Centre on 01636 655781.

In case of Fire
Please ensure your and your group's safety by evacuating to the Fire meeting point in the carpark, before calling the Fire Services (999) and Active4Today (01636 655781 / 655780)

Please ensure yours and your groups safety by evacuating to the fire meeting point (school playground), where you will be asked to account for each member of your group. Information on any unaccounted people should then be given to the emergency services. At no point should you re-enter the building (for any reason) before the emergency services have given the all clear.
